Why we hold personal data about you

LSSNMAIA collects, holds, and processes personal data about you while you are a current nursing student in Lagos State and become a graduate. It is essential for us to do so in order to manage our operations effectively and provide you with teaching, research, and administrative support. This Data Collection Notice explains in a general way what personal data LSSNMAIA collects about you, how that data will be used and to whom it will be disclosed.

It is not possible to describe all of the ways in which the association uses personal data on students, so this Notice should not be seen as exhaustive. By becoming a member, you consent to LSSNMAIA handling and use of your personal data in accordance with this Notice and for other legitimate purposes connected to your membership and educational activities at LSSNMAIA; this includes enhancing teaching and learning, continued professional development services, social experience activities and member networking and related services.

  LSSNMAIA may amend and update this Notice from time to time to reflect changes in how we use personal data. The notice applies to all past, current, and future members of LSSNMAIA.  LSSNMAIA will retain information on unsuccessful applications for statistical and audit purposes and in the event of a complaint or appeal.  Contact LSSNMAIA if require further information about the uses of your information.

How do we hold your data

LSSNMAIA is committed to carrying out its activities in accordance with the Data Protection Act 1998, the Data Protection Principles in the Act, and the association Data Protection Policy. We have to notify the Information Commissioners Office (ICO) of the purposes for which we process personal data. You can view LSSNMAIA’s entry on the Data Protection Register on the ICO’s website.

What information we hold about you

The information held by LSSNMAIA includes the details provided by you on application and learning and social programme, for which data was collected during and after your membership. This can include sensitive personal data. The definition of sensitive personal data can be found in the association’s Brief Guide to the Data Protection Act 1998.

The types of data that LSSNMAIA is likely to hold about you include (but are not limited to):

  • Your name
  • Your Intake Set / Year
  • Your contact details
  • Your Work Details
  • Details of your emergency contacts
  • Your date of birth
  • Your nationality
  • Your ethnic origins
  • Your academic background and qualifications
  • Your academic record while at any of the Lagos State Institutions, including details of any degrees which you are awarded
  • Any disabilities which you have disclosed to us
  • Medical information, such as information held by the Counselling Service
  • Fee information and sponsorship details
  • Your use of LSSNMAIA facilities such as the Library
  • Any disciplinary action taken against you
  • A digital photograph of you, which is used to produce your student ID and for security and identification purposes
  • Your use of online services including LSSNMAIA Core Care, e-journals, Wi-fi and other electronic resources supplied by the association. This includes data, IP addresses of users of shared during training, conference, other systems

Use of association’s identity cards to swipe in and out of buildings, at seminars etc.

Sharing your personal data

The Data Protection Act exists to protect the privacy of individuals.  LSSNMAIA is committed to protecting the privacy of its members, and it should be noted that spouses, parents, and friends have no automatic right of access to personal data on members. The general principle is that your personal data will normally only be disclosed outside the association with your consent. This is also true if you are under 18 when you join the LSSNMAIA – for Data Protection purposes, LSSNMAIA will treat your data in the same way as if you were over 18.

However, there are also occasions while you are here and after you leave when LSSNMAIA is obliged by law, or under other obligations, to disclose the personal data that we hold about you to external people or agencies. These are sometimes called third party disclosures.  LSSNMAIA has internal procedures to check that the disclosure is appropriate and that the third party is legitimate before any release takes place.

Who we release your information to

Although not an exhaustive list, the following are some of the third parties that the LSSNMAIA releases information to. On occasion, this may involve the transfer of personal data outside Nigeria, European Economic Area (EEA) and other members areas subject to appropriate safeguards:

LSSNMAIA Lagos State Nursing students (other than those who opt out) are automatically members of the LSSNMAIA.   LSSNMAIA may regularly obtain or transfer certain personal data between the LSSNMAIAs to enable the LSSNMAIA to provide services to its members and to identify which individuals are eligible for its services.

LSSNMAIA Education Statistics committee.  LSSNMAIA will send information request about students about to graduate where it forms part of the student’s membership record and is used by LSSNMAIA for statistical analysis.  Data may also be passed by LSSNMAIA to various government departments and agencies to enable them to carry out their statutory functions.

About six months after you graduate, LSSNMAIA will contact you as part of LSSNMAIA’s Graduate Mentorship survey on Destinations of graduates to gather data about your career and other activities.  Mentorship requirement. Data gathered in the Graduate Outcomes survey is passed to LSSNMAIA education  committees, and those surveyed may be contacted by LSSNMAIA or its in subsequent years for follow-up surveys.  For further information about the data which LSSNMAIA passes to Education Committee and how that data is used, contact alumni office with your request

LSSNMAIA Student Survey (LSS). 

This is an annual survey of final year undergraduate students, carried out to gather students’ views on the continued professional development and support needed. This Higher Education survey is yet to be commissioned by a Funded Council / other government agency.  LSSNMAIA will pass contact details of members to the survey funding organisation or those contracted.  Occasionally, we may also pass your personal data to organisations administering other surveys on behalf of government agencies or official bodies, such as surveys of student finances.

Members in Diaspora. If you move to live abroad, we may need to share information about you with the other alumni management committee to enable it to carry out its administrative functions and responsibilities towards member.

Local authorities, for purposes connected to electoral registration, taxation, or the investigation of benefit fraud.

The police and other organisations with prosecuting powers, where disclosure is necessary for the prevention or detection of crime.

The Independent Safeguarding Authority:

for individuals engaged in ‘regulated activity’ with children or vulnerable adults, LSSNMAIA is required by the Safeguarding Vulnerable Groups Act 2006 to notify the Independent Safeguarding Authority (ISA) where permission to engage in the regulated activity has been withdrawn, and LSSNMAIA has reason to believe that the individual has engaged in ‘relevant conduct’ (e.g. conduct with endangers or would be likely to endanger a child or vulnerable adult), satisfies the ‘harm test’ (e.g. the LSSNMAIA has reason to believe that the individual may harm a child/vulnerable adult or put them at risk of harm), or has received a caution or conviction for a relevant offence.

UK, USA, Canada etc., Visas & Immigration, where necessary to comply with immigration requirements, including the requirements on LSSNMAIA as a licensed sponsor under the Points Based Immigration System.

Sponsors, loan organisations and scholarship schemes to enable these organisations to determine whether support should continue. If your tuition fees are invoiced to another party, LSSNMAIA will assume (unless you inform us otherwise) that we have your permission to share information about your progression with that party: contact Information Compliance if you do not wish us to do so.  We may also pass over information where we are required to do so by law (e.g. LSSNMAIA is required to disclose data by agreement between you and an funding organisation.

Service providers providing a service (e.g. email, text messaging, accommodation, plagiarism detection) to LSSNMAIA under contract, where that requires the transfer of personal data to the service provider.

Debt collection agencies acting to recover a debt on behalf of LSSNMAIA.

Employment agencies, other education institutions and prospective employers, who wish to verify university awards, student enrolment and subject(s) studied (see ‘Employment references/confirmation of qualifications’, below).

In addition, the LSSNMAIA in emergencies may disclose personal data where we have reason to believe that the health or safety of a student or a third party is at risk.

Graduations, examination results and degree awards

LSSNMAIA regards graduation ceremonies as public events. A graduate list with the names and awards of all those graduating (including those graduating in absentia) is published on LSSNMAIA website. Students who do not wish their data to be published in this way should contact the Graduation Team. Still and video images are recorded of the ceremony and may be purchased or used for publicity purposes; by participating in a graduation ceremony, you consent to the use of your image for these purposes.

Because of their publication in connection with graduations, details of awards (degree subject and classification) are considered by LSSNMAIA to be a matter of public record. LSSNMAIA will normally confirm details of your award on request in response to legitimate enquiries, e.g. from prospective employers or educational institutions. If you do not want your information to be provided in this way, contact Information Compliance. In addition, examination results may be displayed on notice boards within LSSNMAIA.

Photography and filming                            

LSSNMAIA’s Filming Policy requires that prior permission should be obtained for filming by external parties on the LSSNMAIA’s premises and that the filming of individuals by external parties should only take place with their permission. Where photography or filming is carried out by or on behalf of LSSNMAIA, LSSNMAIA will take reasonable steps to ensure that students are aware that filming/photography is taking place so that students have the opportunity not to participate.

Employment references/confirmation of qualifications

LSSNMAIA receives numerous requests for references. Where you have provided LSSNMAIA or an individual within LSSNMAIA as a referee, we will assume your consent to respond to the request and will do so unless we have reason to believe that the request is not genuine.

As indicated (see ‘Graduations, examination results and degree awards’ above), LSSNMAIA treats details of your award as public information and will normally confirm your qualifications when requested to do so.

After you leave

Membership if lifelong, should you leave association, LSSNMAIA will continue to maintain information about you for historical and statistical purposes and for a range of administrative reasons, such as providing transcripts and confirmation of your qualifications. Some information will be kept permanently, other information will eventually be destroyed in accordance with the association’s Records and Data Retention Plan.

LSSNMAIA may contact you in connection with surveys which we are required to carry out for other organisations, such as the Graduate Outcomes survey (see ‘Who we release your information to’, above), and surveys which we carry out ourselves of former students.

LSSNMAIA will also maintain contact with you as a graduate and will provide you from time to time with information which we consider to be relevant to alumni, such as newsletters, events, alumni activities, and information about fundraising campaigns. LSSNMAIA processes your personal data in connection with these external relations and development purposes. If you do not wish to receive this information, please contact the Alumni and Local Operating Centre /Community Relations Office.

Your responsibilities

In line with regulations, LSSNMAIA Members are required by the to keep their details current and to informed of their current term time, home addresses, changes to personal email address previously provided o registration.  You can change your personal details on website update details.

LSSNMAIA regards the email address provided to or by you on registration as the primary method of contact with students. You must ensure that you check your email account regularly information.

As part of your record, we request that you provide us with your mobile telephone number, where you have one.  In addition to being a normal contact method this number may be used to send you a text in an emergency.  So, check your phone for messages.

Access to your data

Members have been offered data for online learning, LSSNMAIA may reimburse or each pre-agreed cost and proof of identity is required.
